Steps to become an Approved Substitute

  1. The applicant must complete the Substitute Application.
  2. The applicant must be fingerprinted (cost is approximately $50.00) and approved for hire after clearance of the Waller ISD Criminal History Background Check. The applicant will receive an email from Identogo to schedule the appointment. Please check your email and SPAM folder.
  3. Applicant (see exception below) MUST register for and complete the online Substitute Training Certification. (Instructions will be emailed to you) 
    • The total cost for this training is $50.00 to be paid by the applicant (which will not be reimbursed by the District). 
    • At the end of the online training session, the applicant will print a Certificate of Completion. 
      A copy of this must be turned in to the HR Office.
    • *EXCEPTION - Applicant with a valid teaching certificate who has taught a minimum of 2 years within the last 5 years.
  4. Once the fingerprints/background have been completed the applicant will receive onboarding through TalentEd. When these documents have been completed and signed, the applicant will need to contact Marlen Padilla at mpadilla@wallerisd.net or 936-931-0361 to schedule an appointment to visit HR. 
  5. Required documents to be a Substitute are; Driver's License, Social Security Card, and Transcript for Highest Level of Education (Originals) 
  6. The applicant will also receive an email to set up an account in Red Rover/Absence Management.

Employee Handbook and Substitute Information

All substitute employees are required to adhere to the policies and procedures outlined in the Employee Handbook. The purpose of the Substitute Guide is to provide you with additional information specific to substitutes. 

Job Cancellations, No Shows, Tardiness, and Job “Shopping”

The campus and the district count on substitutes to fulfill assignments once accepted. A substitute needing to cancel an assignment must do so as early as possible to allow the job to be released back in the system. It is NEVER acceptable to cancel a job once any part of the job has begun or within an hour of the start time of the job.

The following will result in disciplinary action, up to and including permanent removal from the Waller ISD Substitute system:

  • Frequent cancellation of accepted assignments

  • Job shopping – accepting jobs and then canceling with little or no notice in order to accept another assignment

  • Frequent tardiness and No Shows

  • Leaving before the completion of an assignment

Substitute educators are expected to arrive on time and communicate with the campus when unexpected delays or cancellations arise.

Campus steps to request a Long Term Sub as a Temporary Employee (Internal Process Only)

  1. Log into FMX
  2. Click on "Helpdesk" (far right corner)
  3. Go to "Technology Requests"
  4. Click on "New Request"
  5. Under Request Type, click on "New Staff"
  6. Complete the required fields
  7. On position type, Select "Long Term Sub"
  8. Completing remaining fields and click submit

This form will notify Human Resources, Technology, Payroll, and PEIMS. The importance of this process is to ensure the temporary employee receives access to email, a device, and Skyward for student reporting. 

Once a long term substitute is scheduled, if there is ever a reason the principal needs to request an override in pay, the Substitute Pay Override form must be submitted for the request.
